Clinics and practices
Chatbot for clinics
A chatbot for clinics, on the clinic’s website: hours, the price of a service and, if you turn it on, an appointment at a time the calendar has free. It does not diagnose. You see every conversation and you can take the words away from the AI.
What it can say, and what it cannot
Someone landing on the website asks what time you open, what a first visit costs, or whether there is an opening this week. Hostly answers from the profile the clinic has written and approved. If the detail is not there, she says she does not know and offers a person or the phone number. She does not invent a fee or a duration.
It does not give medical advice, it does not assess a symptom and it does not recommend a treatment. That does not go in the profile. If someone asks, the product’s instruction is not to invent, and to leave the subject with the clinic. The chat stores the conversation so you can handle it in the inbox. It is not a medical record, and you must not upload patient histories or patients’ health data to the profile or to a PDF.
Appointments, without handing them to whoever says a name
Bookings are a switch, on every plan, and they start off. When they are on, the chat only offers times the calendar returns. The calendar is Hostly’s. If the clinic connects Beauty Calendar, the openings come from that calendar, and only for services that exist there. There is no sync with Google Calendar or with Outlook.
Booking does not require an account. To view, change or cancel later, you need the same thread or a code sent to the email on that booking. “I’m Ana” does not open Ana’s appointment. A code to the phone by SMS is still pending: if there is no email, the chat says so and does not invent another path.
Taking a deposit is also optional and starts switched off. If you turn it on, you choose the percentage of the service. Hostly keeps 1 % of that charge. Stripe’s fee is separate. The person booking does not pay the Hostly fee.
Physiotherapists
A physiotherapy practice uses the same chatbot for clinics. It is there to give the hours, the price of a session and, if bookings are on, a real opening. It does not explain an injury, it does not suggest exercises and it does not replace the assessment. If that information is not in the profile — and it should not be there as health advice — the AI says she does not know.
Write only what is public in the profile: the address, how to get there, the price of a session, the duration, and cancellation rules you have written yourself. If there is no written cancellation rule, the chat does not invent a 24-hour deadline or a surcharge. It says there is no rule and offers the phone number.
Reception, with a person in charge
The inbox shows every thread. You take over, or you hand it back to the AI. If you reply, she stays quiet in that thread. You can switch the AI off for the whole clinic, or leave her in hybrid mode: with the clinic closed, she limits herself to hours, prices, the address and bookings. A complaint marked in the chat hands the thread to a person and emails the address in Settings, up to five times an hour. It does not replace official complaint forms.
The clinic is responsible for its patients’ messages. Icaro Nutrition SCP acts as processor. The database and the files are in the European Union. Replies are generated by OpenAI and, if it does not respond, Gemini may be used: the message leaves the EU, as the privacy page explains. One clinic cannot see another’s chats.
Installation and price
A script tag, copied from the dashboard, before the closing body tag on the clinic’s website. The Counter plan costs 29,90 € a month, VAT not included, with 600 conversations, 1,800 AI replies and one person on the dashboard. Reception, Hall and Headquarters raise the usage cap and the number of people. Pay-as-you-go is 10 €, VAT included, for 500 replies. Signing up to a monthly plan goes through payment. The demo, separately, uses your website for 24 hours and is then deleted. WhatsApp, if you add it, is a button to your number: the AI does not speak there.
Frequently asked questions
Does the clinic chatbot give medical advice?
No. Hostly only talks about what is in the clinic’s profile: hours, service prices and, if you turn them on, appointments. It does not diagnose and it does not recommend a treatment. That should not be written in the profile. The chat is not a medical record either.
Can someone cancel an appointment by saying a name?
No. To view, change or cancel an appointment you need the same chat where it was booked, or a one-time code sent to the email on that booking. Saying a name is not enough. The code by SMS is not available yet.
Does it work for a physiotherapy practice?
Yes, with the same limit: hours, the price of a session, and a real opening if you turn bookings on. It does not explain an injury and it does not replace the physiotherapist’s assessment. The profile must not hold patients’ health data.
How much does it cost, and how is it installed?
From 29,90 € a month, VAT not included, on the Counter plan. You install it with a script tag you copy from the dashboard and paste on the clinic’s website. A monthly plan starts when you pay. The demo lasts 24 hours, one try a day.
